Documenting a Modified Camper Van for an Insurance Claim
Short answer
Estimating software prices your van by year, make and model. It knows nothing about the solar, lithium or cabinetry inside, so a documented build file is what puts that value on the claim.
Insurance estimating software values a converted van from its factory configuration, not its build. Without itemized documentation of solar, lithium, cabinetry, plumbing and conversion labor, those systems are valued at zero. Build the file with invoices, model numbers and dated photographs before a loss occurs.

A Sprinter that left the factory as an empty cargo van and now carries eight hundred watts of solar, six hundred amp hours of lithium, an induction galley, a diesel heater, a composting head and four hundred hours of finish carpentry is not the vehicle in the estimating database. The database knows the year, the make, the model and the trim. Everything after that is invisible to it, and invisible things are valued at zero by default.
This is the single most expensive structural problem in van and conversion claims, and it hits hardest exactly where owners are least prepared for it. On a repair claim the missing value shows up as systems that never make it onto the scope. On a total loss it shows up as a settlement calculated against a stripped cargo shell, tens of thousands of dollars below what the vehicle actually represents.
Nothing about this requires an argument with anyone. It requires paper, assembled before you need it. Below is what to collect, how to organize it, and what we document on the shop side when a converted vehicle comes through our Yorba Linda bays. San Clemente owners are about forty-five minutes out on the I-5 or the 73.
Why the estimating system values your build at zero
Collision estimating platforms are built on manufacturer data. Enter a vehicle identification number and the system returns the factory build sheet: engine, transmission, trim, factory options and the labor times associated with each factory panel. That structure is exactly right for a vehicle that left the line complete and has been driven since. It has no field for anything installed afterward by anyone other than the manufacturer.
So a conversion enters the estimate as text if it enters at all. An estimator might type custom interior into a line description, which conveys nothing measurable and supports no valuation. The system produces a repair figure and, on the total loss side, a value that reflects a cargo van with mileage. The person writing it is not ignoring your build. They have no mechanism for entering it.
The fix is to supply what the system cannot generate: discrete line entries for each installed system, each with a documented cost, an install date and supporting paperwork. That converts your build from a description into a set of individually supportable figures, which is the only form an adjuster can actually work with when justifying payment internally.
- What the database knows
- Factory build sheet from the vehicle identification number: engine, trim, factory options and manufacturer labor times. Everything installed afterward is outside its scope.
- What it does with the rest
- Nothing. There is no field for aftermarket systems, so they either appear as unsupported text in a line description or they do not appear at all.
- Where it hurts most
- Total loss valuation. The actual cash value calculation starts from the same blind configuration, which is how a heavily built van settles like an empty one.
- What closes the gap
- Discrete line entries per system with cost, install date and supporting invoice attached. Individually supportable figures rather than one lump description.
Build the documentation file before you need it
The work of documenting a conversion is trivial while you are building it and nearly impossible afterward. Every receipt you already have, every invoice from a shop that did part of the work, every order confirmation from a component supplier: those need to live in one folder with a schedule that lists what was installed, when, by whom, and what it cost. Ten minutes of filing per purchase during the build replaces a month of reconstruction afterward.
Photographs are equally important and almost never taken. Shoot each system during installation while the wiring, mounting and routing are still visible, then shoot the finished result. A photograph of a finished galley proves a galley exists. A photograph of the lithium bank with its busbars, fusing and battery management system exposed proves what it actually is, and that distinction is worth thousands on a valuation.
Update the file annually. Add anything installed that year, refresh the exterior and interior photographs, and keep the original file dates intact rather than screenshotting things into a messaging app that strips metadata. Store a copy somewhere that is not inside the vehicle, because the most likely scenario in which you need this file is one where the vehicle is not accessible.
- Purchase records
- Invoices, order confirmations and installer bills with dates, part numbers and prices. Credit card statements alone are weak because they show amounts without describing components.
- Component identification
- Manufacturer, model number, capacity and serial where available for panels, controllers, inverters, batteries, heaters and appliances. Specifics support value, categories do not.
- Installation photographs
- Shot during install while wiring, mounting and routing are visible, plus finished results. Mid-build images prove what is behind the panel you can no longer see.
- Labor documentation
- Conversion labor is frequently the largest single value in the build and the easiest to lose. Keep shop invoices, and for owner-built work keep a dated log of hours.
- Off-vehicle storage
- Keep a copy in cloud storage or with a family member. The most likely moment you need it is one where the vehicle itself is unavailable to you.
What to document, system by system
Electrical is the highest value and the most frequently underdocumented. A solar array, charge controllers, a lithium bank, an inverter or charger, a battery management system, a DC to DC charger, busbars, fusing and the labor to wire all of it can easily exceed twenty five thousand dollars in a serious build. Interior joinery is the next largest and the hardest to value after the fact. Cabinetry, countertops, bed platforms, upholstery and the fitting labor behind them are custom by definition, which means there is no catalog price to reference. What supports them is your invoice, your material receipts and photographs showing construction quality. Without those, the default valuation assumption is production grade at production prices.
Then everything else: plumbing and fresh, grey and black systems, diesel or propane heating, refrigeration, ventilation and roof fans, awnings, roof racks and platforms, suspension and tire upgrades, recovery gear, exterior storage boxes, and the roof or wall penetrations that had to be cut and sealed to install any of it. Each is a line. Each needs a number and a date behind it.
- Electrical and power
- Panels, controllers, lithium capacity, inverter rating, battery management system, DC to DC charging, wiring gauge and fusing. Photograph open, with model numbers legible.
- Interior joinery
- Cabinetry, counters, bed platforms and upholstery. Custom by definition and impossible to price from a catalog, so invoices and construction photographs carry the value.
- Water and waste
- Tank capacities and locations, pumps, filtration, water heater, and whether the head is cassette, composting or plumbed. Include install labor and any structural cutouts.
- Climate and ventilation
- Diesel or propane heating, air conditioning, roof fans, insulation type and thickness. Insulation is invisible after the walls close and is worth photographing during install.
- Chassis and exterior
- Suspension upgrades, larger tires, lift components, roof racks, awnings, storage boxes and recovery gear. These affect both value and the repair procedures after a collision.
Coverage structure matters as much as documentation
A standard auto policy on a converted van frequently insures the van and not the conversion. That is not a trick, it is what the policy was written to cover, and it is why conversion owners should be reviewing coverage structure with their agent rather than assuming the vehicle is the vehicle. This conversation belongs at renewal, when it is cheap, not after a loss when it is not.
Agreed value policies set a figure at inception that both parties accept as the vehicle value, which removes most of the valuation argument on a total loss. They generally require documentation up front, which is another reason to build the file early. Some carriers also offer scheduled equipment or custom equipment endorsements that list specific systems and their values as separate coverage items.

Converted vehicles with agreed value coverage and a documented build schedule settle very differently from converted vehicles on standard auto policies with no equipment documentation. The difference is decided long before the loss.
What we document when a converted vehicle comes in
On intake we photograph the vehicle intact inside and out, then inventory every installed system we can identify, with model numbers and capacities where they are legible. That inventory goes into the file as a condition record. If you already have a build schedule, we cross-reference it and flag anything present that your documentation does not list, which happens more often than you would expect on vehicles bought used from a previous converter.
During teardown, converted vehicles get an extra layer of attention because impact energy travels differently through a vehicle with heavy cabinetry and a battery bank bolted to the floor. Mounting points get inspected. Wiring runs through the impact zone get traced and photographed. Tank mounts, roof penetrations and rack mounting points all get checked, because a hit that moved a roof rack has loaded the roof structure it was bolted to.
Then every affected system is written as its own estimate line with its own supporting documentation rather than folded into a general interior repair line. That is more work to prepare and dramatically easier for an adjuster to approve, because each item can be justified individually to whoever reviews the payment upstream.

Class B, skoolie and overland truck specifics
Factory Class B coaches from an established manufacturer sit in an easier position, because the vehicle has a model designation the estimating system recognizes and a manufacturer parts catalog behind it. The complication there is aftermarket additions on top of the factory build, and those follow the same documentation rules as a full conversion.
Owner-built and small-shop conversions on Sprinter, Transit and ProMaster platforms carry the most valuation risk, because there is no manufacturer designation at all. Skoolies and bus conversions are harder still, since the base vehicle is a commercial chassis whose book value bears no relationship to what has been built inside it. Overland truck builds add a third layer, with campers, subframes and suspension packages that may cost more than the truck.
For all of them the approach is identical. Document what exists, price it with paper, and get the coverage structure reviewed with an agent who understands conversions. Then, when something happens, we document what was damaged with the same specificity, and the two records line up instead of contradicting each other.

Questions We Get Asked
Will my insurance cover the solar and lithium I installed myself?
That depends entirely on your policy structure and on whether the equipment is documented. Standard auto policies frequently cover the van rather than the conversion. Agreed value policies and scheduled equipment endorsements exist specifically for this. Ask your agent at renewal, and build the documentation file regardless, because no coverage structure pays for equipment nobody can establish existed.
What documentation do you actually need from me for a conversion claim?
Invoices and order confirmations with dates and part numbers, component manufacturer and model numbers, install dates, labor records from any shop that did part of the work, and dated photographs from during and after installation. A written schedule listing what was added and when ties it together and is the piece most owners are missing.
I bought the van already converted. How do I document a build someone else did?
Start with the purchase documentation and any records the previous owner or converter provided, then photograph and inventory everything present including model numbers on visible components. We build a system inventory on intake and can cross-reference it. It is weaker than original invoices but far better than nothing, and it establishes what existed before the loss.
Does a heavy conversion change how you repair collision damage?
Yes. Installed mass loads the structure it is bolted to, so a battery bank, water tanks and roof racks change how impact energy travels. We inspect mounting points, trace high current DC runs through the impact zone and check every aftermarket roof and wall penetration, none of which appears on a standard cargo van repair procedure.
How much does it cost to have you assess a converted van after a loss?
Collision estimates are by appointment and insurance walk-ins are welcome. An RV systems estimate is $150 and is credited against an authorized repair. An in-depth diagnostic is one hour at $285, also credited. Posted labor is $210 for body and paint, $260 for mechanical and electrical and $285 for diagnostics.
Do the same rules apply to an upfitted work truck or fleet van?
Exactly the same. Shelving packages, ladder racks, lift gates, service bodies, compressors and inverters are all invisible to the estimating database, and on a fleet unit the upfit frequently exceeds the value of the chassis. Keep upfitter invoices and photographs per unit, filed by vehicle identification number.
